QHSE Administrator and Document Controller

As a QHSE Administrator and Document Controller at Sirus, you will provide an efficient administration service to the QHSE Department including tasks such as scanning, reconciliation, filing, archiving and retrieval. You will maintain company systems ensuring all administration databases and tracking tools are up-to-date and correct. 

Job Description

Key Responsibilities

Document Controller:

  • Manage submittals for large projects.
  • Manage Requests For Information (RFI) for large projects.
  • Support QA leads on projects for administrative activities such as reporting, scanning, and filing.

E-Learning and Electronic Quality Management System (EQMS) :

  • Set-up accounts.
  • Release of documents.
  • Reporting on training status.

Training Management System:

  • Organise training.
  • Follow-ups for certificates.
  • Upload training records on EQMS.
  • Maintain training matrix.
  • Release training records as required and record release onto the tracker as per GDPR.
  • Report on training status to the line manager.

EQMS Maintenance:

  • Support line manager in uploading documentation on platforms.
  • Review records.
  • Support line manager with EQMS equipment manager.

Continuous Improvements:

  • SOP and Form reviews.
  • Regular updates to EQMS.



  • Highly organised with strong attention to detail and processes.
  • Always maintaining clear and excellent customer service skills.
  • Highly motivated and enthusiastic.
  • The successful candidate must have fluent English with excellent interpersonal skills.
  • Proficient working knowledge of Microsoft Excel and experience in other software packages would be an advantage.
  • Minimum 2 years experience in a similar administrative role.

Remuneration & Conditions

  • Salary will be dependent on experience.
  • Based out of our Ballymount office with the option of working from as agreed.
